A prospect in LeadScout is any address or person your team is actively tracking — from a home you knocked for the first time to a hot lead waiting on a quote. Every prospect has a location on the map, a status that reflects where they are in your sales process, and a timeline of notes and status changes so nothing falls through the cracks. This page explains how to create prospects, keep them up to date, and find the ones you need quickly.

What a prospect contains

Identity

Name, phone number, secondary phone number, and email address. All fields are optional — you can create a prospect with just an address.

Location

A street address (line 1, line 2, city, state, zip) and GPS coordinates. LeadScout uses the coordinates to pin the prospect on the map.

Status

The current lead status — for example, “Not Home”, “Interested”, or “Contract Signed”. Statuses are color-coded and customizable by your admin.

Assigned rep

The team member responsible for following up. Admins and owners can assign any rep; reps are assigned automatically when they create a prospect.

Tags

One or more labels that group prospects across your pipeline — useful for campaigns, neighborhoods, or product lines.

Notes

A running log of free-text notes attached to the prospect. Each note records who wrote it and when.

Adding a prospect

You can create a prospect in two ways: directly from the map, or manually from the prospects list.

Open the map

Go to Map in the left sidebar. The interactive map loads centered on your team’s recent activity.

Drop a pin

Tap or click on any location on the map. A pop-up appears with the detected address. Confirm the address, then select Add Prospect.

Fill in the details

Enter the prospect’s name, phone, email, and any other details you have on hand. You can always update these later.

Set a status

Choose a lead status from the dropdown. If you are creating the prospect mid-conversation, pick the status that best reflects the current outcome (for example, “Knocked — No Answer”).

Save

Tap Save. The pin appears on the map immediately in the color that matches the status you chose.

Updating a prospect’s status

Keeping statuses current is how LeadScout tracks your pipeline and feeds the analytics dashboard. Every status change is recorded in the prospect’s history along with the rep who made it.

Open the prospect

Find the prospect in the list or tap the pin on the map. Click the row or pin to open the detail panel.

Change the status

Click the current status badge at the top of the panel. A dropdown shows your team’s configured statuses. Select the new one.

Confirm

The status updates immediately. A new entry appears in the status history at the bottom of the panel.
Your admin configures the available statuses and their colors in Settings → Lead Statuses. If you need a status that doesn’t exist, ask your admin to add it.

Adding notes

Notes let you capture conversation details, objections, follow-up reminders, or anything else worth remembering about a prospect.

Open the prospect detail panel

Click the prospect in the list or the pin on the map.

Type in the Notes field

Scroll to the Notes section and type your note. Press Save or hit Enter to submit.
Notes are searchable. If you type a prospect’s name or address in the search bar on the prospects list, results include any prospects whose notes contain matching text.

Filtering and searching prospects

The prospects list supports several ways to narrow down what you see.

Search

The search bar matches against name, phone, email, address, and note content simultaneously.

Status filter

Filter by one or more lead statuses. Select statuses from the filter panel to show only prospects at that stage.

Tag filter

Filter by one or more tags. Useful for viewing all prospects in a specific campaign or neighborhood.

Rep filter

Admins and owners can filter by assigned rep to see the prospects belonging to a specific team member.

Date range

Filter by when prospects were created. Useful for reviewing a particular canvassing session.

City

Filter by city to focus on a specific geographic area when your team covers multiple locations.

Importing and exporting prospects

Exporting to CSV

You can export your current prospect list (including applied filters) to a CSV file for use in spreadsheets, CRMs, or reporting tools. The exported file contains the following columns: id, name, phone, email, lat, lng, address1, address2, city, state, zip, status, assignedTo, assignedToEmail, tags, notes, createdBy, source, createdAt To export:

Apply any filters

Set the status, date, tag, or rep filters you want. The export respects whatever filters are active.

Click Export

Click Export (or the download icon) at the top of the prospects list. The file downloads as prospects.csv.
The export only includes prospects you have permission to view. Sales reps only see their own prospects, so a rep’s export will only contain records assigned to them.

Role-based access

Sales reps only see prospects assigned to them. Admins and owners can see all prospects across the team. If you expect to see a prospect but can’t find it, check with your admin that it is assigned to you.
